1. Introduction
Rexo Systems LLC ("Rexo," "we," "us," or "our") provides back-office automation and managed services for small businesses. This Privacy Policy explains how we collect, use, store, and protect information when we provide our services to our business clients ("Clients").
Rexo provides services to businesses, not to consumers. The financial and operational data we process belongs to our Clients and, where applicable, to the third parties our Clients transact with (such as the Client's own customers, vendors, and employees). This policy describes how we handle that data.
By engaging Rexo's services, our Clients agree to the practices described in this Privacy Policy.
2. Information We Process
In the course of providing our services, we access and process business data on behalf of our Clients, which may include:
Accounting and financial records (e.g., invoices, bills, payments, chart of accounts, general ledger data)
Vendor, subcontractor, and customer records, including names, contact details, and tax identification information (such as W-9 information)
Employee and contractor time, rate, and payroll-related information
Bank account and transaction information accessed through secure financial connections
Receipts, purchase orders, and related supporting documentation
Other business records our Clients direct us to process
We access this information through the systems and platforms our Clients use, which may include QuickBooks Online, Bill.com, banking connections, and related business applications.
3. How We Use Information
We use the information we process solely to provide and improve our services to our Clients, including to:
Connect, synchronize, and automate workflows across our Clients' financial and operational systems
Process and reconcile financial transactions, bills, payments, and invoices
Generate reports, dashboards, and visibility into our Clients' operations
Identify and flag exceptions, errors, or anomalies for our Clients' review
Communicate with our Clients about their services and provide support
We do not use Client data for any purpose other than providing our services, except as required by law.
4. How We Share Information
We do not sell Client data. We do not share Client data with third parties for their own marketing or commercial purposes.
We share information only as necessary to provide our services, including with:
Service providers and platforms that our Clients use or authorize us to use on their behalf (such as accounting, banking, payments, and data-storage platforms) for the purpose of delivering our services
Legal and regulatory authorities, where required by law, regulation, legal process, or enforceable governmental request
Any service providers we use are expected to maintain appropriate safeguards for the information they handle.
5. Third-Party Platforms
Our services connect to and integrate with third-party platforms operated by other companies (for example, accounting, banking, and payments providers). Those platforms are governed by their own terms and privacy policies, and our use of those platforms is subject to their requirements. We access those platforms only with our Clients' authorization and only to provide our services.
Our integration with Intuit QuickBooks Online is subject to Intuit's applicable terms and policies.
6. Data Ownership
Our Clients own their data. We process Client data on our Clients' behalf and under their direction. Upon termination of a Client engagement, we provide our Clients with the ability to export their data in accordance with our service agreement.
7. Data Security
We take reasonable and appropriate measures to protect the information we process against unauthorized access, disclosure, alteration, and destruction. These measures include restricting access to authorized personnel, using secure credentials and connections, and relying on established, security-conscious platforms to store and process data.
No method of transmission or storage is completely secure, and we cannot guarantee absolute security. We work to protect information using practices appropriate to the sensitivity of the data we handle.
8. Data Retention
We retain Client data for as long as necessary to provide our services and as required by our agreements with our Clients, or as required by law. When data is no longer needed, we take steps to delete or de-identify it in accordance with our obligations.
9. Changes to This Policy
We may update this Privacy Policy from time to time. When we make material changes, we will update the effective date above and, where appropriate, notify our Clients. Continued use of our services after changes take effect constitutes acceptance of the updated policy.
